Note for off campus use:

• If you’re using the Avaya Softphone app from off campus, you’ll need to also be on the college VPN.

Want to get calls forwarded to your cell phone? Find the instructions for setting up call forwarding in the Technology Help Desk portal.

You’ll choose from these three options when setting up call forwarding:

• Forward Unconditional: This will forward all calls immediately to the forward number you’ve provided.
• Forward On Busy: This will forward all calls to the forward number when your extension is busy.
• Forward On No Answer: This will forward all calls if they aren’t answered within 15 seconds.

The campus telephone system allows you to easily control your office phone settings online using the Avaya Self-Administration portal.

With the Avaya Self-Administration portal, you can remotely: 

• Reset your voicemail password
• Reset your telephone login password
• Set up voicemail to email notifications 
• Enable or disable do not disturb, voicemail, and forwarding

How to log in to the Avaya Self-Administration portal:

Log in with your phone username (usually the same as your MHC username) and your Avaya Self-Administration password (the password you use to log into the Avaya Softphone app). Contact the Technology Help Desk if you don't know this password.

Note: To access the portal from off campus, connect to the MHC VPN.

Follow the steps below: 

1. Dial 413-538-2660. 
2. Enter 1 to retrieve your messages.
3. When prompted for your extension, dial your extension then the # sign 
4. When prompted for your password, dial your password then the # sign 

To call someone off campus, you’ll need to dial 9 first. If it’s not a local 413 number, you’ll also need to add a 1 for non-local calls within the United States or the country code if it's international before the number.

Examples:

• To call the South Hadley Post Office, you’d dial 9 (800) 275-8777
• To call the New York Times, you’d dial 9 1 (800) 698-4637
• To call the Shanghai University of Finance and Economics, you'd dial 9 86 (216) 590-4057
• To call the LITS Technology Help Desk, you’d dial 2600

If you don’t remember your voicemail password, you can change it on the Avaya Self-Administration portal. 

Log in with your phone username (usually the same as your MHC username) and your Avaya Self-Administration password. Contact the Technology Help Desk if you need further support.

Please submit the New Phone/Phone Reassignment Request Form.

Moving to a new office in the SAME department

Yes! When you move to a new office in the same department and you have an Avaya phone,* you’ll take your physical phone (and your extension) to your new office.

When you’re setting the phone up in your new space, you’ll want to use the same set up as the person who was in your new space previously.

If you don’t know how it was set up before, or if you plug things in that way and the phone doesn't power up after a few moments, please contact the Technology Help Desk for support.

*If you have an analog phone, you won't be able to take it with you. Contact the Technology Help Desk for support.

Moving to a new office in a DIFFERENT department

You won’t take your physical phone with you if you’re moving to a new department, no matter which kind of phone you have. You’ll also be assigned a new extension. Have your supervisor in your new department submit the new phone/phone reassignment form on your behalf.

If your phone is displaying a login screen, please reboot the phone. If the phone is still asking for a login after rebooting, contact the Technology Help Desk for support.

Please report missing extensions to the Technology Help Desk. 

It is possible that your handset is simply plugged into the wrong port on your phone. Be sure that the handset is plugged into the port labeled with a phone icon (circled in red) and not the port labeled with the headset icon. If you still cannot hear a dial tone, contact the Technology Help Desk. 

If your phone has two ethernet cables plugged in (pictured), then your computer is connected to your phone.

You can update your information in the directory if it is incorrect. More information about how and where updates will appear is on the update page itself.

To find and copy major sections of the telephone directory (in a format that Word can simply read), map a network drive to: \\ambr\depts\.

The telephone directory will be in that drive in a folder named Telephone directory. These files are updated daily so you'll be printing the most up-to-date information.
